Privacy policy
In order to be completely transparent regarding your data and privacy, we wanted to let you know what data we store and process on the website. You are in full control of this data from day 1 (and always have been). For those who need to know, yes, we are GDPR compliant. For those who don't need to know the technical ins and outs, we do not share your data with anyone outwith your school and we do not send unsolicited emails.
Here is a breakdown of our data collection, storage and usage policy.
Pupils
What information do we store and why?
- When you attempt one of the webtests on the site, you are asked for a student ID. You should agree with your teacher what you should fill in here. You may be happy to use your name here, or initials or some other code. This is only known between you and your teacher. Your teacher will be able match this identifier to you. The reason we ask for this is to allow your teacher to know that you have completed the work, how well you did and any areas they may wish to help you with. If you do not agree to this, leave this field blank (it will record it anonymously), but be aware that your teacher will not know you have done this work.
- If you create your own webtest for the site (your teacher has to switch this feature on), your name is stored with the test to give you the credit. By choosing to create a test for the site, you are consenting for your name to be added to the test.
- We already request your permission to store cookies (to speed up login) as part of this compliance, even though we do not store this information on our server (it is stored on your computer).
- If you contact us from the website using the 'Contact' page we record the browser version you are using in order to help us troubleshoot any specific problems. If you are logged in using your school username and password and then contact us, we also record your teacher's name and school to help us narrow down any specific issues.
Teachers
What information do we store and why?
- When you sign up for Evans2ChemWeb, you supply us with your school details, your name and your email address. These are used to customise your login experience, send you login details, allow pupils to select the appropriate teacher at your school and email you results of your pupil tests (if you opt in to this feature).
- You have also had the opportunity to add your own avatar that pupils can see when they log in (which may be a photograph of yourself).
- All of the information that we store is accessible to you at any time via the TeacherZone, where you can also opt out of emails of pupil webtests and remove your details from the site.
- We already request your permission to store cookies (to speed up login) as part of this compliance, even though we do not store this information on our server (it is stored on your computer).
- When a new school chooses to register, only one teacher will complete the application (thus consenting to allowing us to store their name and email address along with their school details).
- Additional teachers can be invited to join your school by registered teachers. This will send an invitation email and the teacher invited will be required to complete the process, giving consent in the process.
- Additional teachers can also complete the application process on the website after choosing the 'Join an existing school' option.
- Whenever information is changed via the TeacherZone, the teacher will receive an email informing them of an update, inviting them to review the changes.
- When pupils complete a webtest, they will have a 'Student ID' field. This can be agreed between the pupils and the teacher. They will be told that whatever information is submitted on the site is stored and shared only with their teacher. If left blank, the name will appear as 'Anonymous'.
- By registering with the website, you consent to us storing your name and email address (which is not shared with others outside of your school) and allow us to contact you with login details (including password resets) and if you first contact us (e.g. requesting assistance).
- We will not send out emails informing of changes to the website (we tend not to do this anyway), but will use Twitter instead (something you have easy control of opting in or out of), so make sure to sign up using the button on the home page!
GDPR Compliance from 25th May 2018
- We will store registered teacher's names, email address and associated school that have opted in to remaining on the site. Teachers can view all of this information at any time or remove themselves from the TeacherZone.
- Each login for a school is recorded on the school counter. This can be reset at anytime from the TeacherZone. No other usage data is recorded.
- We will store webtest logs for each test submitted against a registered teacher that includes a 'Student' identifier that is only known between the teacher and their pupils. Pupil names, email addresses, schools, etc. are not stored. You can view or delete your webtest log at any time from the TeacherZone.
- Teachers who are registered with the site and choose to create their own webtests have given permission to their name being stored with the test.
- If a school has opted to allow pupils to create webtests, pupils will be told that the name they enter will be stored with the test. They have to agree to this before submitting the test.
- Teachers should issue students with a 'Student ID' that is used for webtests. Ideally this should not be their name, but should be something that both the teacher can use to identfy the pupil.
- Webtest results are stored with scores matched to the 'Student ID'.
- No pupil details are stored other than the 'Student ID' they choose to use when completing a webtest. This should be only identifiable by the teacher and pupil.
- When teacher details are manually changed on the TeacherZone, the teacher will receive an email letting them know that a change has been made. If there is a change of email address, the site will send an email to the original and new email address for security. Obviously the old email may not exist anymore, but this prevents a change being made wrongly by another teacher.
- Teachers are responsible for amending their details on the website when appropriate.
- You accept that all registered teachers at your school can view your name and email address.
- Evans2ChemWeb will only add new teachers to a school, or modify an existing record if we receive an email from the teacher in question who is able to confirm their status.
- Registered teachers who do not accept the above conditions are responsible for letting us know and we will then deregister them from the site (all of your records will be deleted), or of course removing themselves from the TeacherZone.
- Students who do not accept the above conditions, should not use this revision site.
- Evans2ChemWeb do not collect, process or collate your data other than that stated above.
